1. Accept Minutes from last meeting as posted by Kathy
A motion to approve minutes from the last Executive Board Meeting dated October 25, 2016 was made by Rich and seconded by Rob. Minutes were approved 6-0.
2. Treasurer’s Report
a. Financial Report
Rob reported the total in all accounts.
b. Tax filing/accountant update
QuickBooks is being used for 2016 records. The tax accountant has assisted the club with financial records and filing of the 2015 taxes on Nov. 15, 2016 (Form 9090EZ). Taxes for 2016 need to be filed by May 17, 2017.
Rob will write a post for the BCRR website about filing of the 2015 taxes.
Mike made a motion to accept the Treasurer’s report and Kathy seconded the motion. The report was accepted 6-0.
Next year’s budget should be completed by the end of January. The board will schedule a budget meeting after one of the Winter Series races.
3. Old Business
a. CPR class
The CPR class is ready to go. There are 20 participants registered for Saturday, Dec. 3 and 14 participants registered for Sunday, Dec. 4.
b. Pancake Breakfast
Johnny and Kathy are ready for the pancake breakfast on December 3. The informal run will begin at 8 am and pancakes will be served at 9 am.
c. Tailgate Committee Update
The tailgate events included providing a hospitality tent at the Trenton Half Marathon, Cooper Norcross Run the Bridge and the Bucks County Half Marathon. The club provided sticky buns, fruit and drinks at the first two races and pancakes and breakfast stout/mimosas at the third race. BCRR brochures and flyers were handed out to promote club membership, Winter Series registration, the Thanksgiving Day race and the Break-Fast 5K. The club also gave away leftover race shirts and other BCRR goodies.
The first order of 150 shirts is expected to arrive before the Informal Run on Dec. 3. The second order will arrive a few weeks later. Rob will find out where the BCRR sweatshirts were ordered from previously.
e. Track for next year
The club is still looking for a track for spring track workouts. The towpath has been used in the past when there was no track available and was a good alternative.
f. Club Membership Cards
Mike will handle creating electronic membership cards.
g. Web Site
The link to RunSignUp has been seamless. Jen has indicated that members have not been signing up to receive posts via email. This needs to be encouraged. The BCRR Yahoo Group is still active as some members do not or cannot use Facebook. Mike reported that BCRR has pages on the GPS social networking sites, Garmin Connect and Strava. There are currently approximately 75 members on the BCRR group page for Garmin Connect and 100 members on the Strava page. The club should continue posting new content as new posts will continue to drive users to the BCRR site.
4. Reports of Officers
a. Winter Series Director
Mike reported that all season long volunteer and race director positions have been filled. Kathy Hahn is the new Jingle Bell race director. Fred is moving from Wild Card to Staggered Start. There are two volunteer coordinators, Jason Devine and Jackie Lewis. The directors will meet after the Informal Run on Dec. 3. Mike Acer is updating food supplies.
The Winter Series registration “day of” process is going to be different this year. There will be three lines:
Line 1 – preregistered club members (bib will have number, race name and member name)
Line 2 – club members registering for the series that day (bib will have number and race name)
Line 3 – single race registration, bibs starting at number 1000, the runner will not keep that number
Runners in Lines 1 and 2 will receive bib numbers under 1000. There will be “welcomers” at the races for new club members. Also, race directors, season long volunteers and BCRR Board members will have nametags. Finally, Johnny met with Renee about the Winter Series banquet.
b. Communications Director
Maggie reported that the social in January will be on the 19th at Tre Fratelli in Langhorne. The social in February will be on the 16th at the Station Tap House in Doylestown.
c. Vice President
i. Thanksgiving Day Race
Rich reported that the Thanksgiving Day Race had 967 online registrants. Sponsorship totals should be about the same as last year. The Expo went well, and they will get feedback from the vendors to see if they want to participate again next year. There was only one complaint about the race and that was about improving the food provided.
ii. Meeting with Brian Flores
The meeting with Brian Flores went well. Last year was the best year yet regarding the partnership. BCRR gave Tyler State Park a check for $2500. Brian will be attending the first Winter Series race and will receive a presentation check at that time.
Johnny reported that for the Break-Fast 5K, the Breakfast Stout is being donated, and he working on getting the champagne donated. Dick Patterson of the Bucks 5K Series will speak at a Winter Series race, and the Mercer Museum will be given a presentation check at one of the races. Johnny made a motion for BCRR to sponsor the Bucks 5K Series at the $2000 level and Rich seconded the motion. The motion was approved 6-0.
5. New Business
Maggie suggested collecting money for We Are One, Boston Bombing Victims at an upcoming race.
